When you use Validoc, we collect:

  • Account information: email address and name provided through our authentication provider (Clerk)
  • Validation data: rulesets you create, validation results (pass/fail, scores, explanations), and document metadata (filename, size)
  • Usage data: API calls, credit consumption, and feature usage
  • Payment data: processed by Stripe — we do not store card numbers

2. Document Handling

PDF documents uploaded for validation are processed in memory only. We do not permanently store your documents. Documents are discarded immediately after validation is complete. Only the validation results are stored.

3. How We Use Your Information

We use your information to:

  • Provide and improve the Service
  • Process payments and manage credits
  • Display your validation history and results
  • Send transactional communications (account, billing)

4. Third-Party Services

We use the following third-party services:

  • Clerk — authentication and user management
  • Stripe — payment processing
  • Neon — database hosting
  • Vercel — application hosting
  • AI providers — document analysis (content is not stored by providers)

5. Data Retention

Account data and validation results are retained as long as your account is active. You can request deletion of your account and associated data at any time by contacting us.

6. Data Security

We implement appropriate technical measures to protect your data, including encryption in transit (TLS), secure database connections, and API key hashing. However, no method of transmission over the internet is 100% secure.

7. Your Rights

You have the right to:

  • Access the personal data we hold about you
  • Request correction of inaccurate data
  • Request deletion of your data
  • Export your validation history

8. Cookies

We use essential cookies for authentication and session management. We do not use tracking or advertising cookies.

We may update this Privacy Policy from time to time. We will notify you of significant changes via email or a notice on the Service.
